Job Description

The Paralegal / Legal Secretary supports attorneys in a fast-paced personal injury law firm by handling case management, litigation support, and administrative responsibilities. This role requires strong organization, attention to detail, excellent communication skills, and the ability to manage high-volume PI cases from intake through settlement or trial.


Key Responsibilities

Personal Injury Case Support

  • Support attorneys with personal injury matters including auto accidents, premises liability, and catastrophic injury cases.
  • Draft, revise, proofread, and format pleadings, discovery, subpoenas, correspondence, and demand documents.
  • Assist with client intake, opening new case files, and maintaining organized electronic and physical case files.
  • Track case progress and key deadlines from pre-litigation through settlement or litigation.

Medical Records & PI Documentation

  • Request, track, review, and organize medical records and medical billing.
  • Assist with preparing demand packages, including medical summaries and supporting documentation.
  • Coordinate lien information (medical, Medicare, Medi-Cal, or other) as needed.

Litigation & Trial Support

  • Prepare and file documents in state and federal courts, including e-filing and service.
  • Maintain litigation calendars, tracking discovery deadlines, depositions, hearings, mediations, and trial dates.
  • Assist with trial preparation, including trial binders, exhibits, deposition summaries, and witness coordination.

Administrative & Office Support

  • Manage attorney calendars, schedule meetings, depositions, medical exams, and client appointments.
  • Handle billing support, expense reports, correspondence, and document management.
  • Communicate professionally with clients, insurance adjusters, medical providers, court personnel, and vendors.

Qualifications

  • 2+ years of experience as a Paralegal, Legal Secretary, or hybrid role in a Personal Injury law firm.
  • Strong understanding of personal injury case flow from intake to resolution.
  • Experience working with medical records, demands, discovery, and litigation support.
  • Proficiency with Microsoft Office and legal case management systems (e.g., Clio, Needles, SmartAdvocate, or similar).
  • Excellent written and verbal communication skills.
  • Ability to handle high-volume workloads with accuracy and professionalism.
